PERSONAL INFORMATION


Through "double verification" we confirm the most recent Agent information for personalization of the mailing. 

Cencus Information
Agent information (i.e., name, address, designations, etc.) originates from a source "home office."  We maintain the agent database interacting through automated services for accuracy.  All agents to be added and/or removed as well as the coordination of updated information from names changes, designation modifications, change of addresses are handled without manual intervention through the data transfer.  The established services allow our information to remain as accurate as your home office.

Agent Coordination
Double checking with the agent, we learn that "William" wants his newsletters addressed "from Bill."  "Ms. Ellis" was just married and her clients, by the time they receive the mailing, will know her as "Mrs. Anderson."   And Charles wants his clients to have his cell phone number as well as his office number.  Our process allows the Agent's expectations to be exceeded each and every time.

Photograph and Signature Validation
Each agent may select, from the photographs we have on file, which photograph to use.  Once selected, we "lock that graphic down" and use it until the agent changes their selection.  Photograph and signature updates and changes are all uploaded and recorded and only used following approval by the agent.  Graphic changes are fast and easy through our e-mail notification, on-line proof approval process. 

Encrypted Information 
Data stored in our systems are held in non-public directories and accessible only to our processes when called through a unique and secure confirmation and  validation procedure.  Once information is requested by an agent, our system decrypts it and supplies it to the web engines for re-encryption through the Verisign certificate.  Information is always protected as thoroughly as technically possible.

Confirmation E-mail
Following each of our process changes, confirmation emails are sent to the agent.  This final step acknowledges the agent's changes or approval for the mailing.

Oversight
As with any information gathering process, unexpected problems may arise.  Monitoring of each process is not only performed by the services and business rules we have in place.  Through pre-determined arrangements with graphics, communications, customer service and technical service departments, oversight of the enrollment process is thorough and efficient.  Expedited handling of issues and coordination of efforts allow your agents to quickly and easily enroll for their mailing.
